Position Overview:
We are seeking a highly organized and detail-oriented Sales Operations & Travel/Logistics Coordinator to join our team on a part-time, seasonal basis. This role is critical to supporting our busy spring and fall seasons, ensuring our sales operations run smoothly while coordinating travel and logistics for staff and events. The ideal candidate is proactive, efficient, and comfortable managing multiple priorities in a fast-paced environment.
Employment Type: Part-Time (seasonal)
Seasonal Periods:
- Spring Season: February 1 – June 15
- Fall Season: September 15 – November 15
Key Responsibilities:
Sales Operations
- Lead recurring meetings with key customers to maintain relationships and track operational needs.
- Assist in coordinating and executing customer contracts.
- Assist in book keeping operations to ensure payment from clients.
Travel and Logistics Operations
- Coordinate travel schedules and bookings for staff, ensuring alignment with budgetary guidelines.
- Manage hotel accommodation forms and confirmations for staff.
- Process and track expense reports for team members.
Event and Customer Support
- Support annual staffing outreach and the hiring of seasonal timing staff.
- Provide travel logistics support and problem resolution during active event seasons.
- Assist with customer service needs and website updates during the season.
- Contribute to quality assurance efforts for new features, providing feedback and support testing as needed.
What We're Looking For:
- Proven experience in sales operations, travel coordination, or event operations (or related fields).
- Strong organizational and time management skills with keen attention to detail.
- Excellent communication skills, both verbal and written.
- Ability to work independently, take initiative, and problem-solve on the fly.
- Proficiency with common office tools (Google Workspace, project management tools, etc.).
- Availability during key seasonal periods, with flexibility to respond to urgent needs.
